How to use the Planning Module

The Planning Module is a tool to manage the number of employees present per day and for the future. This module offers the possibility to indicate the presence of each employee up to 20 days in advance.

 

The admin can indicate in the module how many employees can be received at the office.

Admin console 

New employees can be added in the admin console. Employees are also used in the attendance module.

When adding new employees, click on 'Add employee' and fill in further details.

It is possible to sort employees by function, department and location. This has an impact on the presence board. This has no further impact on the Planning Module. Setting up departments, locations and functions can be done in the Presence module.

If this is not relevant, you can leave it open and save the new employee. This can be added later if necessary.

How do I adjust the number of available workplaces?

1. Click on 'Edit planning settings'

2. Change the number of allowed employees at the same time 

3. Click on the save button

Can I see the history of the presence?

1. Click on 'View presence history'

2. Select the date you want to view

3. All attendees of that day are displayed

How can employees indicate their presence?

Employees can adjust the presence for the coming days via their personal URL. These personal URLs are generated in the management console, see image below.

 

This personal URL should be distributed to the right people. When opening the URL, you can indicate per day whether they are present or absent. It is also possible to see which colleagues are present or absent that day. If further explanation is needed per day, such as leave, sick or vacation, you can add a comment. Other employees can see this comment. See image below:

If you click on 'Overview' you are able to see the presence of other employees. You can also check why they are not at the office if they add a comment.

How do I save my personal URL and what is the best way to save it?

There are 3 options:

1. Adjust attendance via a laptop/computer

2. Adjust presence via an Android Smartphone

3. Adjust presence iPhone

 

Laptop/computer

If you want to adjust the presence via a laptop/computer, we recommend the following options to get to the software quickly and easily:

2. Bookmark the URL in your browser.

 

Android Smartphone 

1. Create an app on your home screen

a. Open your browser (Chrome) on your Smartphone
b. Enter the URL received here
c. Go to browser settings (3 dots in the top right corner)
d. Click Add to Home Screen.
e. Give the page a name, for example: Presence DST
e. Click add.

Iphone 

a. Launch Safari on your ‌iPhone‌ or ‌iPad‌.
b. Navigate to the site you want to create a shortcut to on the home screen.
c. Tap the Share icon (the square with an arrow pointing out) at the bottom of the screen.
d. Scroll down to the list of actions and tap e. Add to home screen. (If you don't see the action, scroll down and tap Edit Actions, then tap f. Add next to the Add to Home screen action. g. Then you can select it from the Share sheet.)
